Sangamon County Circuit Court is looking for an Administrative Assistant Supervisor.

Responsibilities

The candidate performs administrative and customer service work to coordinate office support activities for the judiciary, in accordance with approved internal controls, procedures and rules of the Court.  Employee will review payroll documents for accuracy, verify and enter payroll data in automated system for the county.  Coordinates office support activities and performs duties of overseeing/managing court staff as assigned by the Presiding Judge of Sangamon County and/or the Trial Court Administrator.
The Administrative Assistant Supervisor assists with scheduling for members of the judiciary as assigned and for preparation of the daily scheduled courtroom assignments.  Coordinates with the other members of the court administration staff as to the daily operational needs of the Court.  Prepares and distributes agendas for quarterly staff meetings, distributes county information that is concerning to other county employees, assists county employees with payroll questions and responding to requests.  Access databases; maintaining division attendance records and leave requests; and answering division’s multi-line telephones.  Initiative, attention to detail and independent judgment are exercised within a broad range of ongoing tasks and new initiatives.  Work with all judges and court staff, Circuit Clerk’s staff, State’s Attorney’s Office, Public Defender’s Office, other county departments as needed, private law firms, private attorneys, and all self-represented litigants to ensure a smooth daily operation of the Court system.  This position is responsible for various receptionist and secretarial duties, including but not limited to:  answering a multi-line phone system, directing phone calls, assisting the judges, attorneys, members of the public and others, typing various legal documents and correspondence, scheduling court hearings, civil marriages, among other tasks.  May provide directional and reference assistance to Law Library patrons.  Attend meetings and trainings as required and any other duties assigned by the Presiding Judge and/or the Trial Court Administrator. Responsible for handling sensitive and confidential information.

Requirements

The successful applicant may hold an Associate or Bachelor’s Degree, or have a minimum of three years office experience working in a professional environment using Word software packages, (including:  MS Word, Outlook and others). Sometimes the people who use the court system are under a great deal of stress; a successful candidate is one who has helped maintain a calm, orderly, low-stress work environment.  The candidate shall have knowledge of secretarial and/or administrative assistant techniques including office procedures, composition, records management and office communications.  Ability to organize work effectively and meet deadlines is required.  Ability to sit for extended periods of time. Ability and desire to work with the judicial system.  Subject to criminal history and background checks.

Skills

A successful candidate will have excellent customer service and phone skills and the ability to work with various kinds of people.

Benefits

Salary range: $40,657-$50,821.37; 2 weeks paid vacation, 3 paid personal days, 12 paid sick leave days and 13 paid holidays per year.  Individual and Family health, dental and life insurance options; pension plan; deferred compensation option.  Possible mileage reimbursement if applicable.
