The Land of Lincoln Workforce Alliance is seeking a Program Assistant. The Program Assistant shall perform clerical support duties that are associated with workforce initiatives administered by the Land of Lincoln Workforce Alliance.  The Program Assistant will report to the Executive Director of the Alliance and provide support to members of the Alliance and Workforce Board.

Responsibilities

Duties & Responsiblities:
Technology:

* Assist in the Alliance office, One-Stop Center and the county access sites with software or hardware questions.  Resolve technology issues or refer to the Technology Consultants.
* Coordinate and update changes to www.worknet20.org.
* Assist with security issues related to user accounts
* Coordinate requests between IT provider and users
* Maintain CEO, WIB member, and other board and committee databases and directories

Meeting/ Event Coordination:

* Coordinate all Chief Elected Official (CEO), Workforce Innovation Board (WIB), and other meetings; prepare and disseminate meeting agendas, handouts, etc.
* Coordinate One-Stop Committee, One-Stop Partners, and other meetings associated with One-Stop activities.
* Prepare agendas and act as official record keeper of all meeting minutes.
* Prepare and implement technical needs and setup for meetings and events

Information Collection and Record Maintenance:
Coordinate all federal, state, and local policy information and provide copies, upon request.
Prepare and maintain all legal notices and news releases.
Coordinate and maintain WIB membership, recertification, and appointment documentation.
Create, maintain, and distribute Center brochures, presentations, flyers.
Maintain all electronic and hard copy files. Assist with file/record retention and disposal.

Administrative Work:
* Maintain and order office supplies

Requirements
  • Become well-versed in all aspects of the Workforce System and the Land of Lincoln Workforce Alliance.
  • Knowledge of Federal, State, County and Municipal policies and mandates.
  • Effective communication in the form of telephone, written, and electronic correspondence, including direct contact with Board Members, Partners, community, clients and other staff.
  • Education: Associate Degree
  • Experience: minimum of 2 years in an office setting and/or working with technology

     
Skills
  • Strong organizational skills; ability to perform goal-oriented tasks independently and expeditiously.
  • Computer skills proficiency:  Microsoft Office - Outlook, Word, Excel, and Power Point. Additional computer skills required:  Adobe Acrobat, Microsoft Publisher, computer troubleshooting and website updates.

Starting Salary: $44,500
