The Community Resources Department is looking for an Administrative Assistant/Receptionist

The Receptionist serves as the first point of contact for Sangamon County Community Resources, offering a welcoming and helpful environment to clients, visitors and staff. 

Responsibilities
  • Greet clients and visitors warmly, answer inquiries, and direct them to appropriate staff or service areas.
  • Answer multi-line telephone system; respond to basic questions or route calls as needed.
  • Schedule appointments and maintain calendars for program staff as required.
  • Distribute, collect, and review intake forms and ensure clients have required documentation.
  • Perform general clerical duties including data entry, copying, scanning, filing, and mail distribution.
  • Maintain a clean, organized, and professional reception and waiting area.
  • Provide accurate information about available programs and services or assist clients with completing forms.
  • Track client visits and maintain accurate sign-in logs or digital records.
  • Assist with special projects, reports, or outreach events as requested by supervisors.
  • Maintain confidentiality of all client and organizational information in accordance with federal, state, and local laws and agency policies.

Requirements
  • High school diploma or GED required; Associate's degree preferred.
  • Previous experience in a receptionist, front desk, or administrative support role preferred.
  • Ability to work effectively with a diverse population, including individuals facing economic or social hardship.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); knowledge of case management or client tracking software a plus.
  • Bilingual (especially Spanish) is highly desirable.

  • Office setting with frequent interaction with the public.
  • Must be able to sit, stand, and walk for extended periods.
  • Occasionally lift or move items up to 25 pounds (e.g., file boxes, supply deliveries

Skills

This role requires strong, interpersonal, organizational and clerical skills to support the efficient operation of the department and ensure positive engagement with the community.

Strong communication and customer service skills.

Benefits:  Work Hours:  Monday – Friday 8:00 am – 4:30 pm.  2 weeks paid vacation, 3 personal days, 12 paid sick leave days and 13 paid holidays per year.  Individual Family health, dental, life insurance options and retirement are available.  Equal Opportunity Employer.
